This policy explains how Grensland (Pty) Ltd ("Grensland", "we", "us"), collects and uses your personal information when you use store.grensland.co.za. We process personal information in line with the Protection of Personal Information Act, 2013 (POPIA).
1. Who is responsible
| Responsible party | Grensland (Pty) Ltd (reg. 2026/784496/07) |
| Information Officer | Morné Schoeman (Director) |
| Contact | enquiries@grensland.co.za · +27 76 420 1433 |
| Address | 10 Kolgans Street, Mooivalleipark, Potchefstroom, 2531, North West |
2. What we collect
Information you give us:
- name, email address and phone number;
- delivery address, or chosen collection point;
- order details, including cutting instructions, your chosen delivery or collection date, and your choice of refund or credit for weight differences;
- a record of your order's progress (for example when it was prepared, packed, sent, delivered or collected, and which of our staff updated it);
- ideas you send us through "Ask Tjop" and your votes on the "Most asked for" list, with your name and email address if you give them;
- questions you ask Tjop, with your email address and, if the question is about an order, the order it is about, and our answer;
- questions you type to Tjop that he answers automatically, his answers, and whether you found an answer helpful. If you're signed in, this is linked to your account; otherwise only to a random number kept in your browser and a coded version of your IP address, which we use to limit how many automatic answers one person can get a day;
- recipes you send us through "Share your recipe" (and the photo, if you add one), and your ratings and comments on recipes;
- email addresses you ask Tjop to send a recipe to;
- account sign-in details: your email address, or your name and email address from Google if you choose "Continue with Google" (we don't use or store passwords);
- messages you send us.
- if you're signed in and plan meals with Tjop: your household details (how many people and their age groups, how much you eat, meat you don't eat, budget, dinners and braai nights a week, freezer space) and your last meal plan, so Tjop can remember them next time;
- if you join through a friend's referral link, or refer others: who referred whom, and your Loyalty Program credit history.
Information collected automatically:
- technical information such as your IP address, browser type and pages visited, recorded in our server logs;
- how Tjop's meal planner is used: the answers chosen, the plan made, changes to it, where the planning stopped, and whether the plan went into a cart and was ordered. This is linked to your account if you're signed in, or otherwise only to a random number kept in your browser;
- cookies needed for the site to work (see section 7).
Payment information: card and bank details are entered directly on PayFast's secure page. We never receive or store them. PayFast tells us only whether the payment succeeded, plus a transaction reference. If you pay by EFT, we see the payer's name, the reference and the amount on our bank statement, and the bank details you give us if we pay a refund back to you.
3. Why we use it
We use your information only to:
- process, prepare, deliver and settle your orders (including weight-difference refunds or credits);
- create and manage your account;
- send you order confirmations and updates about your order, including a private link to track it;
- consider the products you ask for, reply to you, and tell you when an idea you asked for or voted for is added (ideas may be shown on our "Most asked for" list without your name);
-
run our Loyalty Program (calculating and showing your credit, and crediting referrals);
-
respond to your questions and complaints;
- remember your household for Tjop's meal planner, so you don't have to answer the same questions again (you can see, change or delete it under My account → My household);
- run the repeat orders you set up (My usuals), and suggest one when you order the same product regularly, using your order history (you can change, pause or cancel repeat orders, and turn suggestions down, under My account → My usuals);
- understand how Tjop's meal planner is used, so we can improve it, our range and our planning. We look at this as totals, and we don't make decisions about you based on it;
- answer questions you type to Tjop automatically (see section 5);
- consider and publish recipes you share (with your first name and surname initial, if you choose), show your ratings and comments, and send a recipe to the email address you give. We keep only a coded version of that address, to limit how many recipes one address gets a day. A few days after an order with the meat for one of Tjop's recipes, we may email you once to ask how it was;
- keep the site secure and prevent fraud;
- meet our legal obligations (for example, tax and accounting records).
Marketing: we will only send you marketing messages (such as specials or newsletters) if you have agreed to receive them, and you can unsubscribe at any time.
The legal grounds for processing are: performing our contract with you, our legitimate interests in running and securing our business, your consent (for marketing), and complying with the law.
4. Who we share it with
We share only what is needed with service providers who process information on our behalf and must keep it secure:
| Provider | Purpose | Location |
|---|---|---|
| PayFast | Payment processing | South Africa |
| Hetzner Online | Website and database hosting | Germany (EU) |
| Resend | Sending order emails | United States |
| Anthropic | Automatic answers to questions typed to Tjop | United States |
We do not sell your personal information.
We may also disclose information where the law requires it.
5. Information sent outside South Africa
Our website is hosted in Germany, and some emails are sent through a service based outside South Africa.
Tjop's automatic answers. When Tjop can't answer a question from his ready answers, it may be answered automatically by an AI service from Anthropic (United States). We send it what you typed in that conversation, the page you asked from, and, if your question is about an order, that order's status, day and items. We don't send your name, email address or phone number. The answers are based only on Grensland's own information, but they can occasionally be wrong, and our team checks them afterwards. Anything about a complaint, a refund or a change to your order always goes to a person. If you'd rather not use automatic answers, choose "Ask the team" instead.
We only use providers that are subject to data protection laws or binding agreements that give protection substantially similar to POPIA (section 72 of POPIA).
6. How long we keep it
- Order and invoice records (including the order's progress record): at least 5 years, as required by tax and company law.
- Account information: for as long as your account is active. You can ask us to delete your account at any time.
- Server logs: up to 90 days.
- Household details for Tjop: until you delete them (My account → My household → Forget my household) or close your account.
- Recipes, ratings and comments: for as long as the recipe is on the site, or until you ask us to remove yours. Recipes we don't publish, and their photos: 12 months.
- Tjop meal-planner records: 24 months. After that only totals are kept, without your answers or anything that identifies you or your browser.
7. Cookies
We use only the cookies the site needs to work: to remember your cart, keep you logged in and complete checkout securely. We do not currently use advertising or tracking cookies. Tjop's meal planner also keeps your current plan and a random number in your browser's storage, so it can welcome you back; clearing your browser data removes them.
8. How we protect it
Your information is protected with encrypted connections (HTTPS), password-protected systems, a firewall, restricted access and regular backups.
9. Your rights
Under POPIA you have the right to:
- ask what personal information we hold about you and get a copy;
- ask us to correct or delete your information;
- object to processing (including direct marketing);
- withdraw your consent where we rely on it;
- lodge a complaint with the Information Regulator.
To use any of these rights, email enquiries@grensland.co.za. We may need to confirm your identity first.

10. Changes
We may update this policy. The latest version will always be on this page, with the date it was last updated.
Gift vouchers
If you buy a gift voucher for someone, you give us their name and their email address or cell number, and any message you write. We use these only to send the voucher, to show it in their account if they have one or open one with that email address or number, and to help if there's a problem with the voucher. We keep voucher records for as long as the voucher can be used and as the law requires for our accounts.
